Who is responsible for your data?

What data do we collect, and why?

Only what you actively enter through a form on this site:

Contact form: name, email address, message, to respond to your question.

Booking a call or session (Cal.com): name, email address, optionally a phone number, the chosen moment and your answers to the questions, to schedule the call or session.

Quiz "Where do you stand now?": you see your result without filling in anything. Under the result you can optionally leave your first name, your contact preference (WhatsApp or email) and your phone number or email address, if you want me to send you one question. You give your consent by ticking the box.

One-on-one session (booking via Cal.com): name, email address, the chosen moment, the format (on a walk or by video) and the price level (regular price or supported price), to schedule and invoice the session. The confirmation about the right of withdrawal is given in writing in the confirmation email.

Open walk for men: name, email address and optionally a question or something I should know or that you're dreading, to sign you up and send you the starting point and the agreements. That last part can contain sensitive information. Only fill in what you want to share.

Feedback form: your message and, if you want, your name and email address, to read your feedback and possibly reply. You can stay anonymous.

Contact record: when you get in touch, I keep your name or first name, how you found me, the moment of the contact and the outcome (yes, no or not yet) in a secure note-taking application (Notion). It contains nothing from our conversations.

Men's circle Antwerp registration: name, email address, mobile number (to reach you in case of a late cancellation and, if you want, for the WhatsApp group of the evening), and optionally how you found out about Noordkracht.

Men's circle Antwerp waiting list: email address, to let you know when there is a new date.

Men's circle online waiting list: email address, to let you know.

Newsletter: email address, to send you the newsletter. The newsletter runs through Substack.

Manuscript (book club): the details you fill in on the sign-up form on this site (Manuscript page). That runs through this site (Netlify). I keep them until the end of season 1. If you want them deleted sooner, email manuscript@noordkrachtmentoring.be.

Recordings of conversations: I don't record a conversation unless you ask me to. If you do, I transcribe the conversation with the help of an AI assistant (Claude, by Anthropic) and delete the recording afterwards. I only do that with your consent, and as far as possible without names. I keep the transcript until 12 months after the last session, then I delete it. Only anonymous insights, such as themes and words, are kept.

Invoices: for a paid session Alfredo sends an invoice. The details on the invoice are kept for the accounting.

Messages via Instagram (DM): a message you send via Instagram is processed by Meta according to their rules.

We never sell or share this data with third parties for marketing purposes.

Noordkracht is aimed at adults (18 years or older).

On what basis do we process your data?

Always based on your own, voluntary consent: you fill in a form because you're reaching out or want to make a request. What you tell me about your health or your state of mind, I only process with your explicit consent.

Who processes your data on our behalf?

Forms on this site are technically processed via Netlify (hosting and form provider) and arrive by email to Alfredo. No separate database is kept beyond these notifications. You book a call or session via Cal.com. I note contacts and outcomes in Notion. The confirmation email of a form is sent via EmailJS (name and email address). The newsletter runs through Substack.

What cookies do we use?

Google Analytics and Meta Pixel: only after you click "Accept" in the cookie banner at the bottom of the page. If you click "Decline", nothing is loaded or tracked. IP addresses are anonymised for Google Analytics. Meta Pixel shows us how visitors coming from our Facebook/Instagram ads use the site, and helps us target those ads better.

Cal.com (booking a call or session on the Contact and Session pages): the calendar only loads after you click "Choose a time" or "Book your session". Cal.com then processes your name, email address and chosen moment and may set its own cookies. We have no control over those.

Instagram feed (Contact page, via Behold.so) can set its own cookies from that third party once you interact with it. We have no control over those cookies.

How long do we keep your data?

Contact message and booking: 12 months.

One-on-one session (booking): 12 months.

Quiz result (and earlier guide sign-ups): 12 months or until you unsubscribe. Optional quiz contact: 12 months.

Newsletter: until you unsubscribe.

Open walk: until after the last participation, plus 3 months.

Waiting lists: until the circle starts, plus 3 months.

Feedback: 12 months.

Contact record: 12 months after the last contact.

Manuscript: until the end of season 1.

Invoices: 7 years (accounting).

Transcript of a conversation: 12 months after the last session.

You can ask to have your data deleted at any time.

What are your rights?

You have the right to access, correct, or delete your data, restrict processing, object, and request data portability. Email alfredo@noordkrachtmentoring.be for any of these. You also have the right to file a complaint with the Belgian Data Protection Authority (gegevensbeschermingsautoriteit.be).
